1. Our role as agent
Unless stated otherwise, Runfluence acts as an agent or sub-agent for the travel suppliers featured in our packages (e.g. hotels, race organisers, transport providers). When you book, you’re entering a contract directly with the supplier(s) of those services, and their own terms and conditions will apply. We can provide copies on request.
Where we put together multiple services for a single price, we may still act as an agent for each supplier. In these cases, these terms should be read alongside our Package Holiday Booking Conditions and the supplier’s terms.
2. When we act as the package organiser
In some cases, we create a package that combines two or more travel services (e.g. accommodation, race entry, transport, guided experiences) for one total price.
When this applies:

You benefit from all rights under the Package Travel Regulations 2018.

Your money is protected in our secure trust account until your trip is complete.

You receive clear booking information before payment.

You have the right to cancel in certain circumstances.

You will receive a full refund if we cannot deliver the package due to our insolvency.
3. Booking and payment

By booking, you confirm you have authority to accept these terms for everyone in your party.

A deposit or full payment (plus any non-refundable race entry fees or booking charges) may be required at booking.

Your booking is confirmed when payment is received and you get written confirmation.

Final balances must be paid by the date shown on your invoice. Late payments may incur a £30 fee, and continued non-payment may lead to cancellation with charges applied.

Unless stated otherwise, all payments are held in our independent trust account until your trip is completed.
4. Prices and accuracy
Prices can change until your booking is confirmed. We reserve the right to correct confirmed prices if errors occur — if this affects you, we’ll let you know immediately.
5. Insurance
Travel insurance is compulsory for all Runfluence trips. You must have adequate cover for:

Cancellation

Medical costs and repatriation

Personal belongings

Race participation
We do not sell insurance. If you don’t arrange cover, we cannot accept responsibility for any resulting losses.
6. Special requests
Tell us about any special requirements (e.g. dietary needs, room type) at booking. We’ll pass them on but can’t guarantee they’ll be met.
7. If you cancel your booking
If you cancel, your refund will be subject to our terms and conditions and the cancellation charges below:

84–30 days | 70% of total cost + race entry fees |
29 days or less | 100% of total cost |
All race entries are non-refundable once confirmed. Changes may incur extra supplier charges.
8. Our responsibility
We are not responsible for the delivery or performance of services provided by third parties. Any issues should be raised directly with the supplier during your trip.
9. Financial protection
All customer payments are held in our independent trust account until your trip is completed, in line with the Package Travel Regulations 2018. This protects your money if we become insolvent.
10. Passports, visas & health
You’re responsible for meeting all passport, visa, and health requirements. Check with relevant authorities before travel.
11. Accommodation ratings
Any star ratings are provided by suppliers and are a general guide only.
12. Complaints
If something goes wrong, contact the supplier or their local representative straight away. If it’s not resolved, contact us as soon as possible so we can help.
13. Travel documents
We normally send all documents by email. If posted, we’re not responsible for delays unless due to our negligence.
